Three setup tiers

Which tier fits depends on three factors: existing know-how in the team, weekly volume and the compliance obligations of your sector.

Tier 1

Lean — quick start, low barriers

Tool mix

  • Buffer, Later or Publer as a direct-publishing SaaS (multi-channel scheduling)
  • Claude.ai or ChatGPT Pro for copy (your own prompt library with a system prompt for tone of voice)
  • Canva (incl. Magic Studio) for images, templates, carousels
  • Notion or Trello as editorial calendar
  • Existing platform accounts — direct login, no OAuth setup

Best fit

Solo entrepreneurs, practices, tradespeople with 1–3 channels and manageable volume. Limited technical background, fast start desired.

Effort & cost

License costs around €50–150 / month (scheduler + AI Pro account). Setup effort 1–2 days.

Tradeoff

You depend on SaaS vendors and cloud AI. Functionally enough for most SMB cases, but not the right tier for GDPR-strict sectors (healthcare, law firms).

Tier 2

Standard — self-hosted core, cloud AI

Tool mix

  • n8n self-hosted (on a German VPS or your own server)
  • WeKan or any Kanban tool of your choice as editorial calendar
  • Frontier model via API (AI vendor with DPA, EU region) for copy
  • Pexels / Unsplash API for stock images, plus AI image generation (Midjourney, DALL-E, Flux) as needed
  • Direct platform integration via Meta Graph API, LinkedIn API, TikTok Content Posting API
  • Your own prompt library versioned in Git or Notion

Best fit

SMBs with 3–6 channels, regular volume (3–10 posts per week) and the wish to be independent of SaaS price hikes long term. At least one technically savvy person on the team.

Effort & cost

Setup 4–8 days. Running costs around €30–80 / month (AI API + hosting). No recurring SaaS licenses.

Tradeoff

More operational responsibility — n8n updates and API renewals need to be maintained. In exchange the setup belongs to you, and you control what goes where and when.

Tier 3

Full self-hosted — GDPR-strict, compliance-driven

Tool mix

  • Open WebUI self-hosted with RBAC and audit log
  • Ollama with a local model for copy (e.g. Gemma 4 for German standard posts)
  • Local image generation via Flux / Stable Diffusion on your own server, plus an in-house image library (licensed or produced by you)
  • n8n self-hosted, WeKan self-hosted, everything on a German server
  • Platform integration only where unavoidable — otherwise deliberate export and manual posting in regulated areas

Best fit

Sectors with strict compliance requirements (regulated markets, public sector, security-relevant industries) or teams who refuse on principle to send a single token to external providers.

Effort & cost

Setup 8–15 days, depending on existing hardware. Running costs around €30–60 / month for VPS or electricity for your own server. Models and tools are open source.

Tradeoff

Local models still lag frontier cloud models in quality — fine for German standard posts, but the cloud variant is clearly better for complex copy and multilingual campaigns. More in-house operations, in exchange for maximum data control.

Performance reporting

Reach, engagement and clicks are pulled automatically from the platform APIs and written to a shared dashboard.

Engagement alerts

When a post collects unusually many comments (positive or negative), the workflow sends a Telegram or Slack notification to the responsible person.

What stays MANUAL on purpose

Automation is a tool, not a substitute. These six points belong in human hands — delegating them to AI risks more than it gains:

Which brand you are, which topics sharpen your profile, which tone you take — a human decides that. AI helps with execution, not invention.

Final approval of every post

AI drafts get reviewed and approved. Hallucinations, tone slips and factual errors happen — final accountability stays human.

Real conversations
